1. Overview
RecPlan is a recreation management platform for healthcare and community organizations. This policy explains how we collect, use, and protect information entered into the platform.
2. Data Ownership
All data entered into RecPlan — including resident profiles, staff information, programs, and reports — belongs to the organization that entered it. RecPlan does not claim ownership of your data. You can export your data at any time.
3. Data Collection
RecPlan collects account information (name, email) for authentication and communication. Organizations enter resident, staff, and program data as part of their recreation management work. RecPlan does not independently collect resident data.
4. Data Use
Your data is used solely to provide and improve the RecPlan platform. We do not sell, share, or use your data for advertising. AI features process your data to generate recommendations and summaries, but AI outputs are reviewed and approved by your team.
5. Data Security
Data is stored on secure, encrypted servers. Access is controlled through role-based permissions and organization isolation. Each organization's data is separated and cannot be accessed by other organizations.
6. Data Retention
Your data is retained while your subscription is active. After cancellation, data is retained for 30 days to allow for reactivation, then permanently deleted. Trial data is retained for 30 days after trial expiry.
7. Consent Management
RecPlan includes built-in consent tracking for resident photography, data sharing, and family portal access. Organizations are responsible for obtaining and recording consent from residents or their substitute decision-makers.
8. User Responsibilities
Organizations are responsible for managing user access, removing access when staff leave, entering accurate information, and obtaining proper consent before recording resident data.
